Overview

JobTrackOS helps you track job applications, organize job-related email activity, and tailor resumes. This policy explains what information JobTrackOS collects, how it is used, and the choices you have. By using JobTrackOS you agree to this policy.

Information we collect

JobTrackOS collects account information such as your email address and authentication details managed through our authentication provider. It also stores job-application data you create manually, and optionally, application-tracking records derived from Gmail if you choose to connect Gmail.

Google / Gmail connection is optional

Connecting Gmail is entirely optional. JobTrackOS works without it, and you can use the product to track applications you add yourself. You are only asked to connect Gmail if you choose to have JobTrackOS help find and organize job-related email.

How we use Gmail data

When you connect Gmail, JobTrackOS requests read-only access and uses it solely for user-initiated job-application tracking. Specifically:

• Gmail messages are analyzed in your browser to identify application confirmations, interview requests, assessments, offers, rejections, and related job-application lifecycle events.
• Derived application-tracking records may include employer name, role, application date, status, source (job portal or direct employer email), and Gmail message identifiers needed for deduplication.
• Raw Gmail message bodies are not persistently stored by JobTrackOS.
• JobTrackOS does not send, delete, modify, move, label, or otherwise manage your Gmail messages.
• Gmail data is never sold or used for advertising.
• JobTrackOS's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Browser-based Gmail processing

Gmail sync occurs through your browser. OAuth access tokens are temporary and kept in application memory while you use the Gmail tracking feature. Access tokens are not intentionally persisted in localStorage, sessionStorage, IndexedDB, or the JobTrackOS backend.

Derived application-tracking records (employer, role, status, date, source, and Gmail identifiers) may be stored locally in your browser's IndexedDB to support offline access and fast retrieval. Raw Gmail message bodies are not persistently stored.

Reset, disconnect, and revoke

You have separate options to manage your Gmail integration:

• Reset Scan Data: Clears locally stored Gmail-derived tracking data and scan state for a fresh rescan. Does not remove your manual application records or disconnect Gmail authorization.
• Disconnect Gmail: Clears JobTrackOS Gmail integration state. To fully revoke authorization, also visit your Google Account.
• Revoke via Google Account: You can review and revoke JobTrackOS's access directly from your Google Account security settings at myaccount.google.com/permissions.

Data storage and security

JobTrackOS implements technical and access-control measures to protect your data:

• Account-level authorization: Your application records, resumes, and other personal information are protected by Row Level Security (RLS) policies that restrict database access to your authenticated account. Users cannot access data belonging to other users.
• Encrypted transmission: All data transmitted between your browser and JobTrackOS is encrypted using HTTPS/TLS.
• Local Gmail tracking data: Gmail-derived application records stored locally in your browser are protected by browser security mechanisms and are isolated per user account.

While we implement these protections, no method of electronic storage or transmission is completely secure. We cannot guarantee absolute security, but we limit data access to what the service requires to function and apply safeguards appropriate to the sensitivity of the information.

Data sharing

JobTrackOS does not sell your personal information. Data is processed by infrastructure providers (hosting, database, and authentication) only to the extent needed to deliver the service. If you use features that analyze text you submit (such as resume tailoring), that content may be processed by an AI service provider for that specific purpose.

Your choices

You can add or remove application data, disconnect Gmail, and stop using the service at any time. If you would like help with your data, contact us using the details below.

We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
